Data Retention Policy

1. Active accounts

While your account is active, we retain all data you enter into BrikkPM. This includes properties, tenants, rent payments, compliance records, maintenance items, documents, financial data, and your landlord profile.

We do not automatically delete or archive any records. Your data stays exactly as you entered it until you choose to modify or remove it.

2. Account deletion

You can delete your account at any time via Settings. When you do, all associated data is permanently removed using cascading database deletes:

  • Properties, tenants, and rent payment records
  • Compliance items and document references
  • Maintenance requests and contractor links
  • Financial records and letting agent details
  • Landlord profile and regulatory obligations
  • Notifications and email logs
  • Your user account and authentication records

Deletion is completed within 30 days. We do not retain backup copies of deleted accounts.

3. Stripe subscription data

If you have a paid subscription, Stripe retains its own records of your payment history independently. Deleting your BrikkPM account removes your Stripe customer ID from our database, but does not delete Stripe's records. Contact Stripe directly to request deletion of payment data they hold.

4. Your own record-keeping obligations

BrikkPM is a management tool, not a legal archive. Before deleting your account, consider whether you need to keep copies of any records:

  • HMRC: landlords must keep financial records for at least 5 years after the 31 January filing deadline for the relevant tax year. Use the GDPR data export in Settings to download your records before deleting your account.
  • Right to Rent: you must keep copies of Right to Rent check documents for at least one year after a tenancy ends.
  • Deposit protection: retain deposit protection certificates and prescribed information for the duration of the tenancy and any subsequent dispute period.
5. Data export

You can export all your data at any time via Settings > Export All Data. The export includes your complete account data in JSON format, covering all categories listed in Section 2 of the account deletion section above.

We recommend exporting your data before deleting your account if you need to retain any records.
